Computer Generated Salary Slip: Valid Without a Signature?

You have generated a salary slip and there is nowhere to sign it. Or you have received one from your employer with a line at the bottom saying it needs no signature, and you are about to submit it to a bank that may not agree.

Two different questions are tangled together here, and they have different answers.

The short version

Legally, a salary slip does not need a handwritten signature. The Code on Wages, 2019 requires employers to maintain a wage register and issue wage slips, and it accepts them in electronic or written form. It does not prescribe a wet signature.

Practically, the organisation you hand it to sets its own bar. Banks, consulates and landlords are not applying the Code on Wages, they are applying their own verification policy, and plenty of them still want a signature, a company stamp, or both.

So the slip is valid. Whether it is accepted is a separate question, and worth checking before you need it.

The exact wording to use

If you generate payslips and want the standard disclaimer, these are the forms in common use. Any of them is fine. They differ in tone, not effect.

Put it in the footer, small, below the net pay line. Keep it in the same language as the rest of the slip.

One thing that actually matters more than the wording: the disclaimer only carries weight if the rest of the slip is complete. A slip with the employer's name and address, the employee's name and ID, the pay period, a full earnings and deductions break-up and a net pay figure reads as genuine. A slip with a disclaimer and half those fields missing reads as something typed up last night, whatever the footer says.

What the law actually requires

Section 33 of the Code on Wages, 2019 places the obligation on the employer: maintain a register of wages, and issue wage slips in the prescribed form. The obligation is to issue the slip, and electronic issue is contemplated.

Two things follow.

Your employer must give you one. Withholding payslips is not a discretionary HR policy. If you are not receiving them, that is the employer's compliance problem, not a favour you are asking for.

The format has latitude. There is no single nationally mandated template, which is why formats vary so much between companies, and why nobody can tell you there is one correct layout.

When you will still be asked for a signature

Expect a signed or stamped copy in these situations, regardless of what the footer says:

• Home loan and personal loan applications. Most Indian banks want the last three months of payslips, and many still want them signed or stamped, cross-checked against salary credits in your bank statement. • Visa applications. Consulates commonly ask for payslips on company letterhead, stamped, sometimes alongside a separate employment letter. Requirements vary by country and change often, so check the current checklist rather than assuming.
• Rental agreements with corporate landlords. Individual landlords rarely care. Managed properties and brokers often want a stamp.
• Background verification during hiring. Verification agencies typically go to the employer directly, so the slip is a starting point rather than the proof.

If you are in one of these situations, the fix is straightforward: ask HR for a stamped copy on letterhead. It is a routine request and most payroll teams have a process for it.

If your employer will not issue payslips at all

This happens more often at small firms than people expect, usually from disorganisation rather than intent.

Ask in writing, by email rather than a message, so there is a record. If nothing comes of it, your bank statement showing regular salary credits from a named employer, plus your Form 16 and your EPF passbook, together make a reasonable income record. It is weaker than payslips for a loan application, but it is not nothing.

Do not manufacture a payslip for a period you were not paid for, or alter figures on a real one. Submitting a fabricated income document to a bank is fraud, and the salary credits in your statement will not match, which is the first thing an underwriter checks.
